Selection process will be completed by the Chamber of Commerce Awards committee, preference will be given to qualified proposals in the following order: Pincher Creek & District Chamber Member, local to the Pincher Creek business community. The selection process will follow all Pincher Creek & District Chamber of Commerce bylaws.

Requirements:
Prepare and present 4 x sponsorship videos (sponsor videos will be provided)
Prepare and present dinner production with sponsors and nominee snippets
Prepare and present 10 award winner productions (nominees listed/present winners)
Prepare and present production for 10 awards
All graphics and animations for productions
Ability to connect to Community Hall System to present all awards
Onsite run through on day prior to event time tba
Assist with all/any IT related problems during the event (required to be onsite from 5 p.m. to approx 8:30 p.m.)

Time Frames:
20 September: Name of nominees and snippets provided
28 September: Name of winner provided
1 October: Sponsorship videos provided
22 October: video run through
24 October: Event date -
Requirements:
General Event Photos including tables, catering, music etc.
Photobooth camera and lights (back drop drape provided)
Photos of presentations
Photos of each winner
Photos of each winner group after the formal award has been presented
Group photos as requested
Time Frames:
24 October: Event date (approximate time onsite 4:30 p.m. to 9:30 p.m.) -
Requirements:
5 beers (Including local options)
1 red wine/1 white wine
3-4 cooler options
Hard liquor including: Vodka, White Rum, Spiced Rum, Rye & Lost ThingsTime Frames:
22 October, 2025 - pick up
25 October, 2025- drop off unused product -
Take down (Saturday, October 25, 2025)
Requirements:take down and tidy the Community Hall after the awards of excellence
Duties include but are not limited to:
Place all tablecloths in bags provided
Group any decorations etc. into one area for easy collection
Stack chairs at the back of the hall Wash all used tables
Stack tables under the stairs
Remove all cardboard from the Hall
Remove all garbage and place it in the outside dumpster
Remove all recyclables & cardboard from the hall
Dust mop the main hall floor
Assist with carefully relocating the stairs
Move coat racks to the back hallway
Assist with loading vehicles if needed
Move the piano and stairs back to original locations
Please note: You are not required to remove garbage or clean the bathrooms
Time Frames:
10:00 a.m. arrival at the Hall
Compensation Donation: $300 -
Requirements:
available to not for profit/volunteer organizations in the Chamber region
volunteers to make and pour drinks for event attendees (approx 350 people)
2 volunteers to sell tickets
4 volunteers (minimum) to be at the bar
minimum of 6 volunteers at all times (may be broken into shifts)
3 bar volunteers must have a valid Pro-serve
All volunteers must be 18 years or older and comfortable serving alcohol
Dress Code: Semi- Formal
Time Frames:
4:30 p.m. arrival at the Hall
5:00 p.m. bar open for service
2:00 a.m. latest event will be completed (more likely 1-1:30 a.m.)Additional Information:
The Chamber organizes all the supply pick up/drop off. We just need volunteers to look after the bartending (including making & pouring drinks), liquor ticket sales, and assist with cleaning the bar area and tables once the catering team has departed, etc. A full list of duties will be provided.Compensation Donation: $500 plus you keep the tips & empties

Requirements:
Prepare and design a 40 -page booklet
Prepare adverts for businesses who are unable to provide their own
Approx. 20 pages to be advertisements
Prepare the Chamber’s adverts
Print 160 booklets (paper 80lb gloss, 5.5 x 8.5, full color)
Deliver the booklet to the Chamber of Commerce
All graphics and design to be provided by the company
Time Frames:
30 September: content to be provided to designer
15 October: booklet to be delivered
24 October: Event -
Requirements:
Prepare and provide locally baked product for 300-340 guests
Items must be presented on tables of 8 people
Preferred items to be placed on tables by the baker
Must follow all guidelines for food services by Alberta Health Services
Presentation on tables to be discussed and/or suggested in quote
Time Frames:
Delivered to the Community Hall prior to 5 p.m. on October 24, 2024
Bread and Dessert may be quoted together or separately.
